Production Assistant, Events Division (Events Summer Intern)

Timeframe: Late April – Early August 2025 | Contract / Temporary

Hours: 5–10 hours per week

Compensation: $20/hour | W-9

We’re seeking a detail-oriented, proactive PA/Events Summer Intern to support event planning and logistics for an upcoming corporate conference. This is a remote, contract role ideal for a student or recent graduate interested in event planning, hospitality, or project coordination.

Responsibilities:

• Assist with logistical planning for a corporate conference (May 2025 and August 2025)

• Help manage registration lists and attendee communications

• Support vendor coordination and materials preparation

• Participate in weekly check-in meetings and assist with general admin tasks

• Conduct research and contribute ideas to enhance the attendee experience

Qualifications:

• Strong organizational and communication skills

• Ability to manage multiple tasks and meet deadlines

• Experience with Google Workspace (Docs, Sheets, Gmail, etc.), Slack, Zoom, Canva

• Prior event or project support experience is a plus

• Must be reliable, detail-oriented, and collaborative


Production Assistant, Events Division | On-site Coordinator

Type: May 18-20, 2025 | Contract / Temporary

Location: On-site in Cape Cod, MA

Dates: May 18–20, 2025 (with possible prep meeting prior and post-event debrief)

Compensation: $20/hour | W-9

We’re looking for a personable and professional PA/On-Site Event Coordinator to assist with the execution of a multi-day corporate conference taking place in Cape Cod. You’ll work closely with the lead event producer to ensure everything runs smoothly on-site—from vendor coordination to attendee support.

Responsibilities:

• Serve as the on-the-ground contact for vendors, staff, and attendees

• Support load-in, setup, registration, session transitions, and breakdown

• Troubleshoot issues in real time and ensure a polished guest experience

• Maintain communication with the lead event producer throughout the event

• Assist with logistics and scheduling as needed during the conference

Qualifications:

• Prior experience in event coordination or hospitality required

• Comfortable handling logistics in a fast-paced environment

• Strong interpersonal and problem-solving skills; positive, can-do attitude

• Must be available for the full duration of the event (May 18–20) and for pre- and post-production Zoom meetings

• Lodging and meals during the event will be provided - an overnight stay for 2 nights at the hotel is required (you will get your own guest room)

• Must have a driver’s license and able to drive to and from Cape Cod; mileage reimbursement will be offered

• May be expected to lift heavy boxes or move furniture

• A cellphone to communicate with lead event producer using text message, phone call, Slack or email
